A robust communications mechanism is used to synchronise data to and from the main Swords system. Each handheld is updated daily – ensuring the rep has the most up-to-date information on customers, pricing and stock availability. This easy to use solution offers the following functionality:
Sales information – prior to the rep’s visit with each customer, they can view their own notes about that customer along with a summary of sales history including: sales performance last month, year to date, last year to date by product group etc.
Order capture – products can either be scanned off a PLOF (Price List Order Form) with a wireless barcode scanner, or manually selected. Capturing the order electronically saves valuable time for the rep filling out paper order books, leaving more time to visit customers. Office admin time is also saved as the orders don’t need to be re-keyed into the back office system.
Stock availability – when taking an order the rep knows if the products they are selling are in stock or on order at the warehouse, if not they can substitute the required product reducing potential missed sales.
Account enquiry – a ledger enquiry screen displays outstanding invoices for each customer, this assists with payment collection if a customer has a dispute over a particular invoice.
Payment recording – if your reps collect money when out on the road they can record it on their handheld, this information is also sent back to the main Swords system so the credit controller has a record of the received payment on the customer’s account.
Sales activity reports can be printed each day to show sales performance by rep including product categories, number of orders, total value and profitability etc.
